Job Description

Tierra Educational Center is a local, family-owned, Spanish language center providing Spanish classes for adults from a wide range of professions and backgrounds. We are seeking an administrative assistant to manage our front desk, providing support to our students and staff, and helping coordinate the wide range of Spanish classes we offer. Our ideal candidate is a proactive, outgoing, detail-oriented, and highly organized individual with exceptional communication and customer service skills who will be highly capable of executing tasks independently while coordinating work with supervisors.

RESPONSIBILITIES INCLUDE:

  • Work in-person at our center in NE Portland at a set schedule every weekday.
  • Provide friendly customer service in all front-desk communications - by phone, email, and in-person.
  • Answer questions about our Spanish course offerings to prospective students.
  • Serve as liaison in communications between students, instructors, and directors.
  • Manage and record student registrations.
  • Coordinate and manage instructor calendars.
  • Organize and manage class rosters and attendance records.
  • Support the logistical coordination of group and private classes.
  • Perform outreach to inform current, past, and potential students about upcoming course offerings.
  • Maintain presence on social media to promote class offerings and attain new followers.
  • Work with supervisors to innovate public relations practices and expand channels of communication with the public.
  • Maintain tidiness of work area, some light cleaning tasks.

REQUISITE EXPERIENCE AND SKILLS:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Relevant work experience in an administrative setting is highly valued.
  • Demonstrated ability to efficiently execute and prioritize work tasks, and to adapt to periods of both heavy and light workloads .
  • Self-motivated with a strong work ethic and initiative to achieve best results.
  • Exceptional organizational skills and attention to detail.
  • Excellent writing and oral communication skills, ability to convey information effectively, maintain confidentiality, and apply discretion.
  • Outstanding customer service skills and phone etiquette.
  • Demonstrated computer proficiency. Familiar with Zoom and Google suite including Google calendar, spreadsheets, and contacts; comfortable managing numerous documents for different kinds of data.
  • Strong and accurate typing skills.
  • Authentic interest in Spanish language and culture, Spanish language proficiency is a plus.

POSITION DETAILS:

This position involves an average of 30 hours per week, total hours may vary from 28-32 hours per week. An afternoon schedule, for example from 12-6pm is preferred, but the schedule can be negotiable for the right candidate. Compensation is $22-$24/hr to start depending on qualifications and experience. Employment benefits include comprehensive health and dental plan and paid time off.
